Private Experience Coordinator

A Private Experience Coordinator assists with all of the logistics of private tastings and events at HALL St. Helena and HALL Rutherford. They work directly with the Private Experience Manager and the Visitor Center Managers to review requirements of each booking, ensure all logistics are addressed, and assist with confirming equipment and staffing. RESPONSIBILITIES: Detailing Events: • Review new reservations and bookings with the Private Experience Manager and Visitor Center Managers to address all of the operational requirements of the bookings: Be knowledgeable of Wine Educator host, service staff, stewarding staff, catering selection, décor, entertainment, linens, etc. Assist with checking vendor availability, confirming arrangements and coordinating billing. • Assist with maintaining inventories and ensure all equipment is clean and in working order. • Assist with printing menus, place cards, seating charts, and event diagrams. • Receive equipment and linen rentals and ensure everything is returned in an appropriate condition. • Other responsibilities as the business requires. Execution of Events: • Welcome the main contact(s) and review all arrangements with them to ensure we are meeting, if not exceeding, their expectations of the event flow. • Communicate any last minute changes to all stakeholders. • Maintain a contagious enthusiasm and pride for HALL and WALT. • Assist with the execution of a private tasting or event. Ensure guests are being appropriately accommodated. Ensure the facilities are clean and in good repair. Ensure all arrangements are set on time. • Assist the Wine Educators with collecting sales orders and packaging orders for guests. • Respond to issues that arise during an event (guest injury, equipment failures, accidents, etc.) • Other responsibilities as the business requires. MINIMUM REQUIREMENTS: 1. Previous experience with events, preferably in a luxury hospitality or winery setting. 2. Computer skills – Intermediate proficiency in MS Outlook, Excel, Word and Internet. Ability to learn and utilize POS and CRM Software. 3. Familiarity with general bookkeeping practices. 4. Must agree to participate in random drug testing as required. HALL maintains a drug-free work environment. PHYSICAL REQUIREMENTS: Requires continuous standing and carrying less than 50 lbs.; occasional climbing, stooping, twisting and fine manipulation; intermittent bending. Hours & days required: Flexibility is required. Much of the work will be evenings and weekends based upon business demands. Attendance & Attire requirements: Excellent attendance is required with schedule flexibility to work the hours as determined by business needs. Business professional attire at all times when interacting with guests and clients. Evening private events may deem black slacks and black shirt, as directed. JOB TYPE | Full Time
